1. Who We Are
EAC Digital Ltd (“EAC Digital”, “we”, “us”, or “our”) operates the EASim platform available at eac-digital.net. EASim is an online training and simulation platform designed for Executive Assistants and Virtual Assistants.

2. Data We Collect
We collect the following categories of personal data:
Account data
Your name, email address, password (hashed), role selection (EA or VA), and primary niche — provided when you register or complete onboarding.
Usage and performance data
Simulation results, scores, responses you submit during simulations, completion times, feedback reports, and your progression through the platform.
Payment data
Subscription plan and billing status. Payment card details are processed and stored by our payment provider (Stripe) and are never stored on our servers.
Technical data
IP address, browser type, device type, operating system, pages visited, and session duration — collected automatically when you use the platform.
Communications
Any messages you send us via email or support channels.
3. How We Use Your Data
We use your personal data to:
- Create and manage your account
- Deliver the simulation and training services you have signed up for
- Generate AI-powered personalised feedback on your simulation performance
- Process payments and manage your subscription
- Send transactional communications (account confirmations, receipts, service notices)
- Send optional marketing communications about new simulations, features, or offers — only with your consent
- Improve the platform by analysing usage patterns and performance data in aggregate
- Comply with legal obligations and enforce our Terms of Service
4. Legal Basis for Processing (UK & EU Users)
Under UK GDPR and EU GDPR, we process your data on the following legal bases:
Contract
Processing necessary to provide the services you have contracted for (account creation, simulation delivery, feedback generation).
Legitimate interests
Platform analytics, security monitoring, fraud prevention, and improving our services — balanced against your rights.
Legal obligation
Retaining financial records and complying with applicable law.
Consent
Sending marketing emails — you may withdraw consent at any time by clicking unsubscribe or emailing us.
5. AI-Generated Feedback
EASim uses the Anthropic Claude API to generate personalised feedback on your simulation responses. When you submit a simulation, your responses and relevant simulation context are sent to Anthropic’s API for processing.
Anthropic’s use of data submitted via their API is governed by their Privacy Policy. By default, Anthropic does not use API inputs and outputs to train their models.
We recommend not including any sensitive personal information (such as your employer’s confidential data) in your simulation responses.

8. Cookies and Tracking

Strictly necessary
Authentication sessions and security tokens. Cannot be disabled — required for the platform to function.
Functional
Remembering your preferences (role, niche, theme settings).
Analytics
Aggregate usage data to understand how the platform is used and where to improve it. No advertising.
We do not use cookies for advertising, retargeting, or selling data to third parties.
9. Your Rights
Under UK GDPR and EU GDPR, you have the following rights regarding your personal data:

10. International Data Transfers
Some of our service providers (including Anthropic and Stripe) process data in the United States. Where personal data is transferred outside the UK or EEA, we ensure appropriate safeguards are in place, including:
- Standard Contractual Clauses (SCCs) approved by the UK ICO or European Commission
- Transfer to countries with an adequacy decision
- Provider certifications such as the EU-US Data Privacy Framework
11. Security
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. These include encrypted data transmission (TLS), hashed passwords, access controls, and regular security reviews. However, no internet transmission is completely secure and we cannot guarantee absolute security.
12. Children
EASim is intended for adults aged 18 and over. We do not knowingly collect personal data from anyone under 18. If you believe a minor has registered, please contact us at privacy@eac-digital.net and we will delete their data promptly.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by displaying a notice on the platform. The “Last updated” date at the top of this page indicates when the policy was last revised. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
